Member Advisory – Proper Use of Corporation Fuel and Purchase Cards

  APOC is reminding all members of the importance of properly using Corporation-issued fuel cards and purchase cards.

The Corporation has recently reinforced its expectations surrounding the use of fuel cards and has advised that this area will continue to be subject to regular checks and audits. The stated purpose of the new controls is to reduce unauthorized transactions, improve transparency and accountability, and ensure cards are being used only for authorized business purposes.

Members should be particularly aware of the following:

  • Fuel cards are Corporation assets and are to be used only for authorized business purposes.

  • Fuel cards are intended for the purchase of regular fuel and are not to be used for personal transactions.

  • The Corporation has advised that misuse of fuel cards is considered a violation of its Anti-Fraud Policy and may result in disciplinary action, up to and including termination.

  • Under the new process, fuel cards will only be usable at the pump for fuel purchases. They will no longer be accepted for payment inside the gas station. Washer fluid and other miscellaneous vehicle items are to be obtained through the depot.

The Association strongly encourages all members who use Corporation-issued fuel cards or purchase cards to ensure they fully understand the applicable rules before using them.

If there is any uncertainty about whether a purchase is authorized, members should seek clarification before proceeding. What may appear to be a minor or convenient purchase can become a significant issue if it falls outside the permitted use of the card.

On a more personal note, I want to be very clear with our members: it is simply not worth risking your career over the improper use of a fuel card or purchase card. No convenience, small purchase, or momentary lapse in judgment is worth putting your employment, reputation, or livelihood at risk.

The Corporation has clearly identified card use as an area of increased attention. Members should therefore exercise particular care, retain appropriate documentation where required, and avoid any personal, unauthorized, or questionable use of Corporation-issued cards.

This advisory is intended to help members protect themselves by understanding the seriousness of the issue and ensuring that all card use remains fully consistent with Corporation policy.
