The National Office of the Association will mandate a professional printing company to prepare and mail out your ballot and self-addressed pre-paid return envelope. Each return envelope will be numbered for the purpose of controlling the number of outstanding issued ballots.

The mailing will occur on Friday, December 5, 2014. It is anticipated that delivery of ballots/envelopes will occur during the week of December 8, 2014. If you have not received your ballot/envelope by Friday, December 12, 2014, please contact your Branch President immediately so that an alternate ballot/envelope can be provided for you by the printing company.

Upon receipt of an alternate envelope/ballot, please ensure that you only vote once. Otherwise your ballot will not be counted.

Following your review of the proposals, you will be asked to consider and assess the changes. Thereafter, you will be expected to complete the ballot, place it in the self-addressed pre-paid numbered envelope, seal it and deliver it (by hand or mail) to your Branch Office. In order for your vote to count, your Branch Office must be in receipt of your ballot no later than noon Monday, December 22, 2014 (Eastern Standard Time). Ballots received after this deadline will not be counted.

After the deadline to vote, each Branch Office will open each envelope received prior to the deadline and count each ballot. Once all ballots are counted, the Branch President or their designate shall provide the results to the National Office by telephone and electronic mail no later than 5:00 pm Monday, December 22, 2014 (Eastern Standard Time). The National Office shall post the results on our website shortly thereafter.

Upon notification and direction from the National Office, ballots and envelopes will be destroyed.
